Introduction

This Privacy Policy explains how we collect, use and protect your personal data when you visit our website, buy our wines or contact us. We handle your personal data in line with UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

The Information We Collect

  • Contact Information: Name, email address, phone number and postal address.
  • Order Information: Billing and delivery addresses, the wines you buy and your order history. Card payments are processed directly by our payment provider, Square; we do not see or store your full card details.
  • Age Confirmation: That you are 18 or over, including any proof of age we ask for.
  • Communications: Any emails or messages you send us.
  • Technical Information: IP address, browser type, device and the pages you visit, collected through essential cookies and our website’s server logs.

How We Use Your Information

  • Order Processing: To take payment, deliver your wine and handle any returns or refunds.
  • Communication with You: To answer your questions, provide customer service and send you important information about your order.
  • Marketing: If you join our mailing list, we will send you news and offers by email, no more than four times a year. Every email includes an unsubscribe link.
  • Running Our Website: To keep our website secure, prevent fraud and fix problems.
  • Legal Compliance: To meet our legal obligations, including tax and accounting rules and the law on selling alcohol, and in connection with legal claims.

Legal Basis for Processing

We process your personal data on the following legal bases:

  • Contract: To process your orders and deliver your wine.
  • Consent: For our mailing list. You can withdraw your consent at any time.
  • Legitimate Interests: To run, secure and improve our website and to prevent fraud.
  • Legal Obligation: To comply with applicable laws, such as tax, accounting and age-verification requirements.

Sharing Your Information

We never sell your personal data. We share it only with:

  • Service Providers: Companies that help us run our business, such as Square (payment processing), our delivery courier, our website host and our mailing list provider. They may use your data only to provide their services to us.
  • Legal Authorities: Where required by law, or to protect our rights, property or safety.
  • Business Transfers: If our business is sold or merged, your data may be transferred to the new owner, who must continue to protect it in line with this policy.

International Transfers

Some of our service providers may store or process data outside the UK. Where this happens, we make sure your data is protected to the standard required by UK law, either because the UK has recognised the destination as providing adequate protection or by using approved safeguards such as the ICO’s International Data Transfer Agreement.

How Long We Keep Your Data

We keep personal data only for as long as we need it for the purposes above, including legal, accounting and reporting requirements:

  • Mailing List: Until you unsubscribe.
  • Order Information: Six years, to meet tax and accounting obligations.

Your Rights

Under the UK GDPR, you have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Ask us to correct inaccurate or incomplete data.
  • Erasure: Ask us to delete your data, subject to certain exceptions (for example, records we must keep for tax purposes).
  • Restriction: Ask us to restrict how we use your data in certain circumstances.
  • Data Portability: Request a copy of your data in a machine-readable format.
  • Objection: Object to our use of your data for direct marketing, or where we rely on legitimate interests.
  • Withdraw Consent: Where we rely on your consent, withdraw it at any time.

To exercise any of these rights, please email support@seldenwines.co.uk. We will respond within one month, and there is normally no charge.

Complaints

If you are unhappy with how we have handled your personal data, please contact us first and we will do our best to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

Cookies

Our website uses only essential cookies, which are needed for the site to work: for example, to remember the contents of your basket, process your order securely and record that you have confirmed you are 18 or over. Our payment provider, Square, may also set cookies at checkout to prevent fraud. Because these cookies are strictly necessary, we do not ask for your consent to use them.

We do not currently use analytics or advertising cookies. If we introduce them, we will ask for your consent first and update this policy.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. Changes will be posted on this page, and we will let you know of significant changes by email where appropriate.
